Friday: 8:30 am to 12:00 pm & 12:45 pm to 3:30 pm *

*Staff are to ensure that all unsupervised students are cleared from their area of coverage before leaving the building.

Staff are expected to notify Administration or the office staff whenever they are going to be late or absent. Medical appointments etc… are to be made after working hours or during breaks in the school year whenever possible. Notes are to be provided to verify appointments.

2. Staff Supplies

Each staff member will be given a daily planner and a box of school supplies. Staff is asked to use their supplies sparingly and keep them in a safe place. Supplies are purchased in bulk once a year. This means that if supplies run out they may not be re-stocked for some time. Please note out-of-stocks items on the “wishlist” sheet that is posted on the staff room wall.

Teachers should not be handing out school supplies to students as students are required to bring their own supplies to school. If teachers feel that they want to supply students, they will be expected to purchase supplies on their own.

The Teacher Prep Rooms (Copier Rooms) have construction paper, paper rolls, laminator, etc… for teacher use.

3. School Keys

Each staff member is given a main door key and a general classroom master for which they must sign a key log form. If a staff member loses their keys, they will have to pay for the replacement of the main door key for every staff member. It is approximately $ 20.00/key. For this reason it is very important that staff keep track of their keys and refrain from lending them to students.

4. Mail
Staff mailboxes are located in the staff room. Mailboxes are the most common way of distributing important information to every staff member. Daily messages are also put in mailboxes. For these reasons staff members should make a habit of regularly checking and cleaning their mailboxes.

Mailboxes for the Ducharme Building , NLSD – Beauval, NLSD – La Ronge, Bruce Ruelling and the Local School Board are situated in the main office. Staff are asked to utilize these boxes whenever possible.

School mail is usually delivered to the post office by 3:00 pm each day. Staff who wish to have personal letters dropped off may put them in the “Outgoing Mail” box. Please make sure all personal mail has proper postage.

School mail is usually picked up from the post office once a day.

Staff is asked to request a post office box or use “General Delivery” for their personal addresses.

5. Correspondence

All school related correspondence that a staff member wishes to distribute must be approved by an Administrator and printed on approved letterhead.

6. Bathroom Passes / Notes

If a student has to leave a classroom for any reason, the supervising staff member must send him/her with either the official classroom bathroom pass or a written note that indicates the time, date and has been signed. Only one student at a time should be excused from a classroom. Students’ time out of the class should be limited.

7. Photocopier / Paper Policy

This building has three copiers. One in the office which is for Admin use only, one in the High School Teacher Prep Room and one in the Middle Years Teacher Prep Room. The Prep Room copiers are for staff use. The Main Office copier requires an access code to limit use of this machine. If necessary staff may ask office personnel to use the copier.

Any problems with the copiers should be reported to Christie Janvier, Receptionist as soon as possible. A note indicating which copier and the nature of the problem is required.

Staff are asked to be economical in their copying as paper supplies are limited. Make sure to check that the correct instructions are selected before copying. Double side whenever possible and make sure the original document is in good condition.

Use overhead transparencies whenever possible.

The photocopier manual is located on the back of the staff copiers. Staff are asked to make themselves familiar with the operation of the copiers. Adding paper, removing jams and replenishing toner are all day-to-day tasks that staff should be familiar with.

8. Laminator

We have a roll laminator in the High School Teacher Prep Room. There is an instruction video that goes with it. See Florence Janvier or Vincent Janvier if there is a problem with its operation.

As supplies like laminating film are generally only ordered once per year; staff are asked to be conservative in their use of the laminator.

9. Phones and fax machine

There are many phones located throughout the building. Please familiarize yourself with their locations. Toll free calls and calling card calls can be made from any phone in the building. Only the Admin. office phones are programmed to allow long distance calls. All long distance calls (and their purpose) must be recorded on the phone log located by each phone. Personal calls are discouraged as calling cards can be used from any phone. A flat fee of $ 2.00 per call will be charged for personal calls that are charged to the school.

Staff are asked to refrain from using the main phone in the office as it is the only one that takes incoming calls. Before using an office telephone, please get permission from the person whose phone you are borrowing.

While the school has four lines the main line number is 822-2223.

Our fax number is 822-2344.

The High School Administrative Office fax number is 822-2333.

Directions on how to use the fax are located on the machine. All faxes are to be recorded on the fax log which is on the wall above the machine. Personal faxes are billed at a flat rate of $ .50 per page.

10. Staff Meetings

These meetings generally take place on the first Tuesday of each month and students are dismissed at 2:25 pm on these days. These are “Special Event Days”.

The Dene Building staff also meets every Monday morning at 8:20 am for communication purposes.

11. Funeral Policy

Students who wish to attend a funeral must have a note from their parents/guardians allowing them to go. A phone call may also be acceptable. Please make sure that the students are aware of this policy.

Teachers who wish to attend a funeral should see the local agreement. Support staff that wishes to attend must meet with administration at least two days prior to the funeral.

Teacher Handbook

Fundraising Policy

Over the course of a school year, many worthwhile projects and trips are provided for the students by the school. Due to the large amount of clubs at our school and our remote location: travel costs, etc… are very expensive. For this reason, we are required to fundraise. The general procedure for fundraising is as follows:

  1. The fundraising idea is discussed with the Admin. Team for approval.
  2. The Principal will discuss the idea with the Local School Board for their approval.
  3. ALL monies fundraised are to be handed into Miss Morin for safe keeping and proper accounting or directly deposited to the appropriate Northern account directly by the fundraiser.
  4. A “Request for Funds” form must be completed and submitted to the office to access any funds.
  5. A “Purchase Order” or a cheque is then written for all approved “Request for Funds” and placed in the requesting staff members’ mailbox.
  6. Original receipts for all expenditures must be handed in to Miss Morin for record keeping purposes.
  7. Each committee or club that fundraised during the year must submit a “Year End Fundraising Report” to the office.

The school operates juice/water machines and a recess canteen to raise money for general school

expenses that can not be paid for through other sources of funding. Ie. Van maintenance. In addition we also fund high school athletic trips once our decentralized budget funds have been expended. In the case of other extra-curricular clubs, the onus is on them to fundraise for their own expenses. Occasionally, depending on the circumstances, school fundraising dollars may be requested.

Fire Drill Policy

Exit Locations

Students and teachers are to exit the building as listed on the Fire Drill Exit Map based on their location at the time of the Fire Alarm.

Staff without homerooms or specific responsibilities are expected to assist in emptying the building and herding students to their homeroom locations.

EVERY class should have a fire escape route posted!

2. Fire Drill Expectations for students

a) Leave building immediately and by nearest (or designated) exit in an orderly manner.

b) DO NOT stop at a locker for any reason. All students are expected to have indoor shoes.

c) Meet your homeroom teacher at the designated location.

d) Remain outside until “ALL CLEAR” is announced on the intercom. Return to class in an orderly manner.

3. Fire Drill Expectations for staff:

a) Escort class in an orderly manner out the designated exit.

b) Make sure windows and doors are closed and door is unlocked.

c) Send students to their designated assembly point.

d) If you are a homeroom teacher, meet your homeroom students and take attendance.

e) Report missing students to your “Fire Marshall” (They are indicated on Fire Drill Map)

Fire Drill Frequency

Regulations under the National Fire Code of Canada requires at least three school fire drills to be held in each of the fall and spring terms (section 2.8.3.2)

To meet these requirements the La Loche Community School will conduct the drills at the following times:

  • First week of school.
  • The Monday before the monthly staff meetings in the following months: October, November, March, April and May (weather permitting).

5. Guidelines for School Fire Drills

The following are general rules for school fire drills:

  • Any plan designed to evacuate a building or re-locate within the building in the event of a fire emergency must be suited to everyone, the strong, the weak, the big, the small, the healthy, and the disabled.
  • A different fire alarm sending station should be used for each fire drill (to ensure each station is working properly).
  • Conduct fire drills at different times of the day, including recess, class change, lunch and gym class.
  • Identify all the exits in the building to students.
  • Make sure students (and teachers) know enough to evacuate/relocate by the closest and safest exit/route.
  • Do not exit through smoke unless absolutely necessary (remember that smoke will contain a varying amount of toxic gases and inhalation of toxic gases can be fatal).
  • If classroom door is closed at the time the fire alarm sounds, have someone check the hallway for smoke and/or fire before exiting from the classrooms.
  • If smoke is present in the corridor, close classroom door and seal off all openings through which smoke can enter and remain in the classroom until help arrives.
  • Do not use windows as exits unless it is absolutely necessary. In the past, school occupants have been seriously hurt by jumping out the windows and by broken glass from windows.
  • If you wish, you can use a watch to time a drill, but the students should not see you doing this. Fire drills should not be turned into a foot race. Concentrate on maintaining order and discipline.
  • Gather at the designated meeting places outside the buildings where everyone will be safe from the fire and will not obstruct the fire fighting operation.
  • Each teacher is responsible to make sure all students in his/her homeroom are accounted for. If someone is missing, it should be reported immediately to the “Fire Marshall”. Do not re-enter the building / or leave a safe area until the “ALL CLEAR” announcement is sounded.
  • Arrange an “ALL CLEAR” announcement given by Administration.

6. FIRE DRILL RECORDS

The record of fire drills shall be kept and shown to the Fire Prevention Office or Local Fire Chief on request. The record should include the evacuation and Confirmation times. It is the duty of the Principal to ensure that these fire drills are properly executed and discipline maintained throughout.

7. FIRE DRILL PROCEDURES

The Department of Saskatchewan Municipal Government has outlined procedures for fire drills 1 through 6:

FIRE DRILL ONE

Teaching staff are to review Fire Drill procedures with their students.

FIRE DRILL TWO

Fire Drill is carried out as per policy

FIRE DRILL THREE

Fire Drill is carried out as per policy.

FIRE DRILL FOUR

  • Block half the exits (do not lock the exit doors; do not obstruct with saw horses, desks, etc., use staff members or standing cardboard signs at the clocked exits to inform the student shat route is unusable because of fire. Remember it is possible a real emergency could occur at that precise time and all exits must be kept clear).
  • Do not direct the students. Let them figure it out for themselves. Observe the reaction of the students (they should instinctively take the closest available safe route or exit.
  • Assemble the students after the “ALL CLEAR” has been given and remind them that they must retreat to the closet available exit if they find their planned exit route is blocked by heat or smoke.
  • Teachers should critique the session at the next staff meeting and make any changes they feel necessary.

FIRE DRILL FIVE

  • Call all the teachers together and tell them that you are going to have a fire drill at a precise time. Instruct the teachers that the purpose of the drill is to observe how students will react to a situation where the hallway is blocked by smoke and heat. Instruct the teachers to make sure that the classroom doors are closed when the fire alarm sounds.
  • When the fire alarm sounds, the teacher will check the hallway for heat and/or smoke. The teacher would inform the students that the hallway is filled with smoke and ask them if they remember what they should do. The teacher will then advise them of the proper conduct in a situation such as this.

Remember:

  • keep the smoke out of the classroom by keeping the door closed and filling openings around the doors and vents and anywhere smoke may enter, using any available material such as coats, books, papers, etc…
  • advise students to go to the window and if the classroom is located on the ground floor, an evacuation by way of the windows can be simulated. Make sure the window opens easily and wide enough for students and teachers to exit through.
  • Go to designated homeroom spot.
  • Await the “ALL CLEAR” signal.
  • Critique the session at the next staff meeting and make changes as considered necessary.

FIRE DRILL SIX

  • Now that the students know that they must be prepared for the worst in a fire situation, fire drills should be conducted in such a way as to test the ability of the students to think in an emergency and use common sense so they can evacuate the building or relocate within the building safely should a fire occur.
  • Do not set up situations where there is a possibility of someone being injured. Ie. Do not use real smoke or smoke bombs to add realism. Be alert for high-spirited students showing off by breaking the glass in windows or jumping from the windows to the ground, etc…
  • Try to arrange a fire drill in co-operation with the local fire department so you can check their response time and the adequacy of their fire fighting and rescuer equipment. Point out to the fire officials what you consider to be shortcomings and offer your support to local fire officials in their effort to improve their skills and equipment.

Teacher Handbook

Safety Teams

1. Our Safety Teams are trained in:

a) Non-Violent Crisis Intervention
b) First Aid and CPR
c) Counselling techniques

  • We have established a team of trained staff members who will respond in case of an emergency situation. The Team’s role is to handle literally, any crisis episode with minimal anxiety and maximum security.

Examples : a) A student has injured their neck in the gym.

      • A water pipe has broken, flooding the hallway.
      • Two students get in a violent fight.
      • There is a real fire.
      • There is a power outage

3. The safety of all individuals within the building is our prime focus. A list of the Safety Team members and the following procedures will be posted throughout the building:

SAFETY TEAM MEMBERS:

Ian McNeil
Greg Hatch
Phyllis Longobardi
Stephen King
Deb de Caux
Ralph Klyne

PROCEDURES:

In the event HELP is needed:

  • A staff member will call the office for help stating that:

“WE NEED THE SAFETY TEAM AT…(location)”

If multiple staff members feel that a team needs to be called please designate only ONE person to call into the office!

  • Office personnel will then make an announcement for:

“SAFETY TEAM IS NEEDED AT ROOM# / (description)”

  • As a staff member in a Safety situation, if you need to remove your class, please do until help has arrived.
  • All other staff should lock their door and keep the students inside the classroom.
  • When the situation is under control, an announcement will be made stating:

“STAFF, PLEASE RESUME REGULAR ROUTINE!”

  • Remember it is best to act on the side of Safety. If there is a problem, please consider the safety of everyone.
